Privacy Notice

This notice explains what personal data English 11 Writing Studio collects, why, how it is protected, and the rights you have over it under the Data Privacy Act of 2012 (Republic Act No. 10173) and the policies of the University of the Philippines. English 11 Writing Studio is a coursework tool operated by the instructor of English 11 (Technical Writing for Business) for Sections B and C. It is not a University-wide service.

What we collect

• Account details. Your UP Mail address, your name, and your section, taken from the class roster the instructor maintains.
• Work you submit. The drafts, titles, uploaded files (PDF, DOCX, PPTX), and links you add to an assignment.
• Review activity. The rubric scores and written comments you give on classmates’ work, the feedback you receive, inline margin notes, and the timestamps for each.
• Sign-in and session data. One-time sign-in links and their expiry, an optional password you set (stored only as a salted hash), and a signed session cookie that keeps you logged in.

We do not collect analytics, advertising identifiers, location data, or anything from your device beyond what is listed above.

Why we process it

The processing is necessary to run the course activity you are enrolled in and to record participation for grading. Specifically, we use your data to:

• let you submit written work and receive structured feedback on it;
• assign you a few classmates’ pieces to review and record that you completed them;
• show the instructor who submitted and who reviewed, for participation marks;
• let the instructor give you feedback on your submission.

The legal bases are the performance of your enrolment in the course and the instructor’s legitimate interest in administering it, together with the consent you give before first use.

How anonymity works

Peer review is anonymous in both directions. Reviewers never see who wrote a piece, and authors never see who reviewed theirs. The instructor can see all identities, which is required for grading and for the pre-review check that submissions carry no identifying details. Please do not put your name, signature, or other identifying information inside a submission.

Who can see your data

• You, for your own submissions, the reviews you wrote, and the anonymized feedback you received.
• Assigned peer reviewers, who see your submission without your identity.
• The instructor, who sees everything for the purpose of teaching and grading.

Your data is not sold, rented, or disclosed to anyone else.

Service providers

The application runs on third-party infrastructure that processes data only on our instructions:

• Vercel, application hosting;
• Neon, the managed PostgreSQL database;
• Vercel Blob, storage for uploaded files;
• Resend, delivery of sign-in emails (used only if email is configured).

These providers store data on servers outside the Philippines. By using the tool you acknowledge this cross-border processing. Uploaded Office and PDF files have their author metadata cleared before storage.

How long we keep it

Your data is kept for the duration of the term and the University’s grading and appeal period. After that, submissions and reviews are deleted or anonymized, and account rows are removed unless the University’s records rules require otherwise. You may ask for earlier deletion; requests that would prevent the instructor from grading may be deferred until marks are final.

Security

Data is encrypted in transit. Access to the database is restricted to the application and the instructor. Passwords are never stored in readable form. Sign-in links are single-use and expire quickly.

Your rights

Under the Data Privacy Act you have the right to:

• be informed about how your data is processed;
• access the data we hold about you;
• correct inaccurate or outdated data;
• object to processing or withdraw consent, subject to the effect on your course standing;
• have your data erased or blocked where there is no lawful basis to keep it;
• obtain a copy of your data in a portable format;
• be indemnified for damages from unlawful processing;
• lodge a complaint with the National Privacy Commission (privacy.gov.ph).

Cookies

English 11 Writing Studio sets one essential cookie that keeps you signed in. It is not used for tracking or advertising. Blocking it will prevent you from staying logged in.

Changes

This notice is versioned by date (currently 2026-09-10). If it changes in a way that affects how your data is used, you will be asked to review and accept the new version before continuing.
